Returns & RMA

A return request is not sellable stock.

Inspect returned goods before deciding what returns to stock.

Example: separate RMAs for 14 resellable and 6 scrap units. Each request has one verdict. Credits do not transfer money.

A working day · example scenario

The customer returns a box. Only some units can be resold.

Restocking every returned unit would put damaged goods back into availability. Crediting the order before checking quantities can create a second problem. The physical decision and the accounting record need to stay connected.

  1. Open the return against delivery

Start the RMA from an eligible delivered order. Requesting the return does not change stock, and cumulative quantity checks keep requests within the original ordered quantity.

  2. Inspect before deciding the destination

Each RMA has one verdict for its full quantity. Use separate requests for resellable and scrap quantities. Resellable goods return to stock; scrap is recorded without increasing availability.

  3. Keep the credit linked

Create a linked draft credit note with amount and quantity checks. Duplicate-credit protection keeps a repeat action from creating another credit for the same return.

What you leave with

The returned goods, stock movements and draft credit have a common record to follow.

Why we connect
these records.

We separate requesting, inspecting and restocking because those events mean different things. An RMA should preserve that distinction while keeping the commercial follow-up connected to the original order.

Inside the workflow

Return requests

Start a return against an eligible delivered order without immediately changing stock.

Inspection verdicts

Record whether returned units can be resold or must be scrapped.

Restock or scrap

Add resellable quantities back to stock and record scrap as wastage.

Linked credit notes

Create a linked draft credit note with quantity and amount checks that prevent duplicate credit.

Before you bring
it to your team.

When does a return change stock?

Not when the request is created. Returned units need an inspection verdict. Resellable quantities can be restocked, while scrap is recorded as wastage.

Does creating a credit note refund the customer?

No. A credit note is an accounting document, and this workflow creates a linked draft. It does not transfer money. The return workflow checks quantities and credit amounts and prevents duplicate credit.
