Returns and credit notes

Request, approve, inspect and close a return while keeping stock adjustments and draft credits connected to the order.

Manage returns from the original order. Requesting a return does not change stock. Receiving it records the physical outcome; closing it creates a linked draft credit note.

Request a return

1

Open a delivered or completed order

Choose Request Return (RMA). Other order statuses do not offer this action.

2

Choose the product, quantity and reason

The product must belong to the order. Existing non-rejected returns count toward the original ordered quantity limit. Check the actual delivered quantity yourself, particularly on a force-completed order.

3

Submit and review the request

The Returns & RMA card shows the requested status. Approve it to proceed, or reject it without changing stock or finances.

Inspect the returned items

Choose Receive & Inspect (QC), inspect the physical goods and explicitly select a quality verdict. Resellable goods increase an available, unexpired lot for the same product. Scrap creates a disposal audit and does not increase available stock. Each RMA request has one verdict for its entire quantity. If a delivery contains both resellable and scrap goods, record separate requests for those quantities before receiving them. Add inspection notes and confirm the receipt.

If the product has no suitable lot, a storage location must exist before the receipt can create one. Repeated or simultaneous receipt attempts cannot restock the same return twice.

Close and create a draft credit

For a received return, choose Close & Create Draft Credit. An active original sale invoice is required. The credit links to that invoice, and cumulative credits cannot exceed its amount. Repeating the close action returns the existing result.

A draft credit is an accounting document. It does not send money through a payment provider or confirm a cash refund. Review it through your accounting workflow before treating a refund as executed.

Permissions and checks

Order read permission allows viewing returns. Order update permission controls requesting, approving, rejecting and closing; inventory update permission controls warehouse receipt. Stock lots from another company or another product are rejected. If an action reports that the status changed, refresh the order before proceeding.
