Creating Orders

Step-by-step guide to creating B2B orders in IEMSuite - selecting clients, adding line items, setting payment terms, and confirming orders.

B2B orders in IEMSuite start as a Quote - you can edit, add items, and adjust pricing before your client's purchase order is confirmed. Only once you record the PO and allocate stock does the order enter the fulfillment queue.

Creating a B2B Order

Go to Orders → New Order

Select "B2B Order" from the type selector.

Select a client

Start typing a client name to search. If the client doesn't exist yet, click "Add New Client" to create one inline.

Set the order date

Defaults to today. Adjust for backdated orders.

Choose the fulfillment location

Which warehouse will pick and ship this order? Defaults to your default location.

Add line items

Save

The order is created with status Quote. No stock is reserved yet.

Adding Line Items

For each product line in the order:

  • Search and select the product SKU
  • Enter the ordered quantity
  • Enter the unit price (defaults to client price list if configured, otherwise blank)
  • Apply a line-level discount percentage (optional)

IEMSuite shows available stock next to each product line so you can see if you can fulfill the order with current inventory.

You can add a product with zero available stock to an order - the order will be saved, but stock reservations cannot be created until stock arrives. Use this to pre-book expected future stock.

Payment Terms

The order header has a free-text payment terms field (defaults to "Net 30") so you can record whatever terms you've agreed with the client - a standard credit term, "Prepaid," "Due on delivery," or a custom split like "50% upfront, 50% on delivery."

Discounts & Notes

Apply an order-level discount percentage (on top of any line-level discounts) in the Order Totals section. Add internal notes (not visible on customer documents) and customer-facing notes (appear on packing slips and invoices).

Confirming an Order

Click Confirm PO to move a Quote forward once your client has issued a purchase order. This:

  • Records the client's PO number and any PO notes
  • Moves the order to PO_RECEIVED
  • Makes the order eligible for stock allocation (the next step)

From PO_RECEIVED, confirming allocation runs the allocation engine: if enough finished-goods stock exists, the order moves straight to PACKED; otherwise it moves to IN_PRODUCTION so a production batch can build the shortfall first.

Once a Quote has moved to PO_RECEIVED or later, line items are locked. To change the ordered products or quantities, cancel the order (if it hasn't shipped) and create a new one.

A B2C order placed through Shopify skips the quote step entirely - it enters the system already at ORDER_PLACED, since the customer has already paid.
