Inbound Logging

Record incoming stock from suppliers, create stock lots, and trigger QC inspection workflows with IEMSuite's inbound logging system.

Inbound logging is how new stock enters your inventory. Every time you receive goods from a supplier, you create an inbound record - this generates the stock lots that flow through production, orders, and fulfillment.

What Is Inbound Logging?

An inbound record captures:

  • What was received - product and quantity
  • When it arrived - receive date (used for FIFO ordering)
  • Where it was put - destination location
  • Who it came from - supplier name and PO/reference number
  • Lot identifier - auto-generated or manual lot number
  • Expiry date - optional, used for FEFO ordering and expiry alerts

Logging an Inbound Shipment

Go to Inventory → Inbound Log

Click "Log Inbound Items" in the top right.

Select the product

Type the product name or SKU to find it in the list.

Enter the quantity and unit

The unit defaults to the product's UOM. Enter the received quantity.

Set the receive date

Defaults to today. Adjust if you are logging a backdated delivery.

Choose the destination location

Defaults to your organization's default location.

Enter supplier and reference (optional)

Supplier name, PO number, or invoice reference for traceability.

Set expiry date (optional)

Required if your org uses FEFO allocation or has perishable goods.

Submit

A Stock Lot is created immediately. If QC is enabled for this product, an inspection job is queued.

Supplier Reference & PO Numbers

The Supplier Reference field is free-text and is shown on inbound history, stock lot details, and the audit trail. You can search inbound records by reference number from the Inbound list view.

IEMSuite does not currently have a full Purchase Order module. The PO number field is a reference field only - it does not lock quantities or generate receiving docs. A full PO module is on the roadmap.

Lot Creation on Inbound

Every inbound record creates exactly one Stock Lot. The lot number is auto-generated using your organization's lot numbering sequence (e.g., LOT-2024-0042), or you can enter a custom lot number from your supplier's label.

The lot starts with status AVAILABLE (or PENDING_QC if QC inspection is enabled for this product). Available lots immediately count toward your on-hand inventory.

Triggering QC on Inbound

If the "Requires QC" toggle is enabled on a product, submitting an inbound record automatically creates a QC Inspection job for the new lot. The lot is placed in PENDING_QC status and is excluded from fulfillment until the inspection is approved or rejected.

To enable QC for a product, go to Inventory → Products → [Product] → Editand turn on the Requires QC toggle. This is a per-product setting.

Bulk Inbound Import

For large deliveries with many line items, use the Excel (.xlsx) Import on the Inbound page. Download the template, fill in one row per product line, and upload. All lots are created in a single transaction.

Imported rows cannot trigger QC automatically during BETA. If you need QC on bulk-imported lots, create the inspection jobs manually after import.
